EasyWeek – simple and functional

EasyWeek is a CRM designed for use by hairdressers, beauty masters, beauty salon owners, and anyone else involved in service delivery. The system’s primary feature is how simple it is to set up and maintain, without sacrificing any important features, and at a reasonable cost.

Awescode, a German company with its headquarters in Dusseldorf, is developing the CRM. By building digital services, the developers specialize in boosting businesses’ online productivity.

You can visit the EasyWeek website to view the functionality of the customer relationship management system and get acquainted with it.

Among the primary benefits we determined following testing were:

  • a free web page for each user. In fact, this is a full-fledged landing page that will replace your website. It contains all the information about the beauty salon or the master, there are answers to common customer questions, a description and cost of services – in general, an excellent modern business card;
  • ease of use. Simplicity is usually associated with poor functionality, but not in EasyWeek. This is a full-fledged service for business automation, capable of simplifying work, and streamlining processes, and helping with analytics. In addition, it will take from 5 minutes to an hour to set up a profile, depending on the scale of the business. I am pleased with the design of the service – minimalistic, stylish and not tiring for the eyes even with continuous work;
  • prompt support service. They respond quickly and approach each user individually, which is certainly commendable.

EasyWeek’s user base includes both masters and networks of beauty salons; scaling your business is one of the key factors in selecting a quality CRM.

The number of linked employees is the sole distinction among the various tariff plans. Simply purchase the "Individual" tariff if you are self-employed to gain access to all features. EasyWeek has very reasonable prices, starting at 592 rubles per month. If you pay all at once, the price is even lower.

You can, of course, test out the features before buying a tariff; a 14-day free trial is available. Given that setting up the system will take one to two hours, you should have enough time to test it in the remaining time. If this is insufficient, representatives will give a video presentation using Zoom or Skype. This is useful in businesses where decisions are delayed and discussion with partners or management is necessary.

Among EasyWeek’s features are:

  • online registration form for the website, instant messengers and social networks;
  • personal web page of the organization;
  • analytical tools – for finances, employees, services and clients;
  • customer database;
  • payroll calculation;
  • ability to connect several branches;
  • mobile application;
  • integration with websites, social networks, instant messengers.

Classic CRM tools like a calendar, SMS notifications, and recording log are also available. To help you avoid becoming overwhelmed by the array of features and swiftly personalize the system, we have prepared comprehensive guides that walk you through every step of the EasyWeek registration process and analytics setup.

Registration

The first step in using EasyWeek is to register. Click "Connect" from the site’s home page.

You can test out each tariff on the list that appears after clicking the button for free. Every new user has access to all of the service’s features for 14 days.

The actual registration procedure is simple; you can use a Google account or an email address.

Inputting company information, such as the name and address of the organization—in our example, a beauty salon, hair salon, or office—as well as general information about the profile owner is another step in the registration process. Remember to select your area of expertise. There are options for independent professionals such as makeup artists and hairdressers, as well as for fully established organizations.

Confetti is launched by a happy octopus to greet you after you’ve completed every field. Of course, this is a tiny thing, but it’s really adorable.

Initial setup

EasyWeek will advise you on your next steps. As soon as you register, the following steps appear on the start screen:

  1. Confirm your email address;
  2. Upload your organization"s logo and photo;
  3. Upload your user photo;
  4. Describe your company;
  5. Fill out the Q&A block;
  6. Add services;
  7. Add a link to your EasyWeek Instagram page.

A synopsis of each step in sequential order. It’s very convenient that you can click on the task and finish it without having to go anywhere to follow the suggested steps.

It took only two clicks to upload the logo and update the company logo. You have the option to upload a video logo, which will set you apart from your competitors for those who prefer daring and unusual solutions. To upload a picture of a hair salon, beauty parlor, or office where you host guests, follow the same procedures.

To access the tasks list again, select the relevant menu item.

Adding a user photo is a voluntary step. To make it easier to navigate, salons with more than two or three employees should make use of this feature. This is not required for one master.

The same principle applies to all other tasks as well. Most importantly, once the initial setup is complete, you can get to work right away. With the exception of EasyWeek, all of the CRMs we tested did not have the "Questions and Answers" task, which merits special attention.

Employees’ jobs are greatly simplified by the tool, which also gives clients the opportunity to gather all the information they need before scheduling an appointment without feeling awkward about asking the administrator questions.

Naturally, this section shouldn’t be overly large, but we strongly advise including the top 4-6 questions.

Easy setup with a services list. The primary benefit is the ability to enter all of the details regarding a particular service in one location.

EasyWeek CRM allows you to:

  • set the price "from" – for services, the final cost of which consists of several factors;
  • make the service free – suitable for procedures that come as a bonus, but require accounting;
  • enter the cost price of the service;
  • add a discount system;
  • enable and disable the booking option;
  • highlight the service in the widget and on the page to draw attention to it.

Naturally, there are also indications for the name, category, price, and duration.

The service’s color scheme can be as light or dark as you’d like, just like in our screenshots. Click the slider after selecting the avatar from the left menu to alter the color scheme.

Clients

When using EasyWeek for the first time, it is advised to enter customer data right away, as a beautiful business is built on its clientele.

There are two ways to gain clients:

  1. In the process of creating new records;
  2. Manually, by accessing the "Clients" section.

In addition, the guest list is automatically updated following a reservation made by a customer using the EasyWeek online booking form.

To input customer information into the system:

  1. Go to the "Clients" section;
  2. Click the "Create" button in the upper right corner;
  3. Enter the required data – Name, phone, birthday, gender, comment and click the "Save" button. The client will be displayed in the general list.

A tag system within the clientele is an intriguing development. Click on the client’s name in the list, then select "add tag" next to the name to add a tag.

By using tags, you can categorize beauty salon patrons according to specific attributes, like those who are subject to particular requirements. You have the option to add multiple tags in order to place the client in various categories.

It’s easy to sort clients by tag: just click "Tags" in the main client list, then choose the desired tag.

The client list in * format.xls can be downloaded if needed.

Schedule

The work schedule can be found on the second line of the main menu on the left side of the page. Filling it out is the next step.

It is possible to configure the schedule:

  • manually, by selecting working days in the calendar;
  • by days – work on Tuesdays and Thursdays, for example;
  • by number of days

Here are the designated working hours. By entering the working time in two intervals—one in the main columns and the other by selecting the "add new interval" button—you can establish a break. It turns out that the first interval will be 10–13 hours, and the second, 14–19 hours, if you work from 10 to 19 with a break from 13 to 14.

This is where the information about booking by dates is posted, underneath the calendar. Making a booking involves utilizing the online appointment widget to schedule a procedure. With a single click of a button, you can schedule times when clients can schedule a session or block off the entire day for booking.

Salary

One more feature of EasyWeek that isn’t always present in other systems is the accrual calculation for salaries. These adjustments can be made a little later because they won’t have an impact on how clients are worked with.

Choose "Salary schemes" under the "Salary" section.

Salary plans that are available:

  • percentage of the cost of the service;
  • fixed rate for each service;
  • hourly pay;
  • percentage of the total income of all employees – relevant, for example, for the administrator.

Schemes can be combined; for instance, you could set a fixed salary plus a percentage of the service. If needed, you can also create a separate plan for certain services.

Remember to link employees to the schemes by which their wages will be determined once all of the schemes have been entered. Choose "Select employees" from the window that appears after clicking the "Assign" button.

The future gross income of all employees is shown in the same section along with their individual salaries.

Online recording widget

Customers can sign up for a procedure with just a few clicks using the EasyWeek online booking widget, which is a form that is connected to a website or landing page. Clients can only register for free windows, and any overlaps are eliminated because of data synchronization.

As soon as you register, the online booking widget is already on your personal website. It is automatically generated and contains the fundamental company information that you initially entered in response to the system’s prompts.

Clicking the appropriate button in the "Your website" side menu will take you to your page.

The page that was generated automatically is a complete one-page website. The website allows customers to schedule procedures, view a list of services and their associated costs, read through FAQs, view the master’s or beauty salon’s rating, and file complaints.

In addition, there are links to the company’s social media accounts, contact details, and a map that can be used for route planning or just ground orientation.

When customers switch to EasyWeek’s website, you can link a custom domain to the page and run an advertisement. In order to analyze advertising results, integration with analytics services such as Google Analytics, Yandex Metrica, and Facebook Pixel is also available.

You can also include the online recording widget on your own website. Go to "Integrations" – "Widget" to accomplish this.

You need to copy and paste the code that appears in the side window into the website. The Tilda platform, a well-known website builder, is highlighted separately. It additionally requires a code to be "sewn" into the page. Although it appears extremely difficult at first, practically anyone can manage this. Additionally, EasyWeek provides comprehensive installation instructions for widgets.

Open the page editing mode by going to your Tilda profile.

Anywhere on the site page, add the "T123" block, which is from the "Other" section. permitting the insertion of HTML code.

Once the block has been added, select "Content."

Paste the EasyWeek code that you copied into the "Widget code" field.

Select "Save and close." Remember to publish the updates so the widget button shows up on the page. The client sees the EasyWeek widget as follows:

And after you press the button, it appears as follows: elegant, understandable, and educational

The client chooses on the EasyWeek online booking form:

  • service;
  • date and time of the visit;
  • master.

Additionally provides a phone number and, if required, marks the area for a follow-up call.

It is possible to alter the online booking widget:

  • change the color scheme;
  • add a background;
  • hide or show the bottom menu;
  • diversify the widget with different icons.

The "Branding" section of "Company Settings" is where you can customize the widget.

Additionally, the settings include a preview window that shows the branding’s outcome.

The reservation appears in the Calendar and is immediately reflected in the booking log with the status "New booking." The system will also alert you to the event if notifications are set up.

Booking Log

The closest, active, or archived bookings for procedures will be shown in the Booking Log section.

Both manually and automatically—by selecting the "New booking" button in the top right corner—new reservations can be made via the EasyWeek online booking form.

Every new reservation has a status that facilitates navigation for the administrator or specialist.

  • confirmed – means that the person responsible for processing applications has seen the new booking and/or contacted the client to clarify the details;
  • in progress – the procedure is being performed right now;
  • completed – the procedure has passed;
  • cancelled – the client has refused the visit or the specialist has cancelled the booking.

We will discuss the "Completed" status in more detail later. The booking automatically opens a payment confirmation window when it is marked as "Completed." If the client signed up for a manicure but also received a pedicure, for example, you can add a second service and adjust the total price if needed.

The information in the "Salaries" section is automatically updated in compliance with the salary scheme that was established for the performer after the payment data has been saved. Click on an employee’s name in the list of employees to view a detailed report on accruals for that particular employee.

Finance

EasyWeek’s Finance section is an analytical feature that allows you to track various expenses and keep an eye on changes in your monthly or yearly income as well as your level of expenses. The system creates a visual diagram for you to see these changes.

The following subsection, "Cash transactions," covers all cash movements that take place within the company, such as in the office, hair salon, and beauty parlor. You can specify the date by which the list will be generated in the settings.

A subsection called "Payment items" is used to set up payment items that require cash movements. The most popular ones, like salary payments and refunds, are already on the list; however, by selecting the "Create a new article" button, you can add your own article if needed.

Analytics

EasyWeek’s capabilities extend beyond the analytical domain of finance, as we have already discovered.

The analysis of a beauty salon’s internal operations is the focus of the "Analytics" section, where you can see summary information on:

  • log of entries – the ratio of offline and online applications, traffic sources, the ratio of completed to cancelled appointments;
  • clients – an increase in new visitors;
  • employees – the percentage of occupancy, the plan-fact for production;
  • cash – the amount of receipts;
  • finance – unlike the section specialized for this topic, here is structured information on income, profit and average check, as well as information on which services are more popular and bring in more money.

Other settings

Six significant organizational plan setting categories are included in the general settings.

The first is "Business"

You can enter and edit here:

  • general information about the company;
  • locations – for beauty salon chains, studios and hairdressers;
  • List of offered services.

The second – "branding"

Within, you have the option to configure:

  • What can be the minimum time between booking and recording;
  • on what gap forward for customers is open reservation;
  • the gap between the records;
  • previously mentioned design of the widget.

Third – "SMS"

This is where the client’s SMS notification settings are set. This is also where the message sending balance is refilled. There are various notification kinds, including:

  • after booking the date through the online record;
  • before recording;
  • Immediately before recording.

Many CRMs offer notification services, but Easyweek offers an intriguing extra: employee notifications. Masters are able to be sent:

  • notifications of records for today and tomorrow;
  • notifications after successful booking of the service.

Perfect for independent contractors without an administrator on staff, such as manicurists and pedicurists.

To personalize the message text, simply utilize the codes that are linked to every kind of notification and arrange them according to your preferences.

Fourth – Push

Both the administrator and the owner of the beauty salon will find push notifications helpful. Push is set up in the mobile application as well as the web version of the service. The required notifications are configurable to your preference:

  • about a new appointment;
  • about canceling an appointment;
  • about appointments for tomorrow;
  • about a decrease in the balance for sending SMS messages.

Please be aware that in order for the system to send notifications to the browser or smartphone, the relevant section must be selected in "Integrations" in order to enable their display.

In addition, the fifth category, "E-mail," facilitates the setting up of notifications for staff members and customers to the email address provided during reservation.

Finally, there is Marketing, where a QR code can be created. Let us delve deeper into this particular section of the menu.

QR code generation

This is an additional EasyWeek feature that lets you make a personalized QR code. Consumers can easily schedule an appointment at a salon or office by scanning it with their phone. You only need to print off and place the sticker with the QR code that the system will automatically generate in the designated location.

Depending on where the sticker is placed, three different sizes are available:

  1. A7 – for a mirror;
  2. A5 – for a stand;
  3. A5 – for a display case.

It is not only relevant, but also convenient—you don’t have to visit the location to find an appointment form. In addition to serving as a quick link for online registration, a QR code is an effective weapon in the fight against COVID-19.

Numerous nations—such as China and France—have long implemented QR codes for use in public spaces. In November 2020, Moscow decided to emulate its Western neighbors. The Moscow mayor’s decree states that establishments that offer customer service should post QR codes at the door. This measure’s primary goal is to track people’s locations so that, in the event that a chain of contacts with a patient who has a coronavirus infection needs to be assembled quickly, it can.

As of right now, EasyWeek is the only CRM that makes it simple to generate a distinctive QR code, which will aid in halting the COVID-19 pandemic.

Mobile application

EasyWeek is available on both the AppStore and PlayMarket as a mobile application in addition to the web version. The functionality of the web version is fully replicated in the mobile version.

After downloading, launch the application and complete a brief authorization process with the same information you used to sign up for the online version.
