Testing CRM for the UNIVERSE-Beauty beauty salon

Success in the cutthroat beauty business of today depends on managing inventory, scheduling client appointments, and fostering individualized client relationships. UNIVERSE-Beauty and other beauty salons can greatly benefit from having an effective and user-friendly CRM system. But how do you pick the best option when there are so many available?

In order to determine which CRM system would best serve the needs of UNIVERSE-Beauty, we made the decision to test a number of ones designed especially for beauty salons. Finding a solution that streamlines daily operations, enhances client management, and ultimately improves the general customer experience was the aim.

We’ll discuss the findings and observations from our testing process in this post, emphasizing the salient characteristics and advantages of the CRM that really stood out. Regardless of the size of your beauty business or salon, this guide will assist you in navigating the challenges of selecting the best CRM for your requirements.

CRM Name Test Results
BeautySoft Easy to use, but lacks advanced reporting features.
SalonMaster Comprehensive features, but the interface is not very intuitive.
StylePro Offers great customization, but can be slow at times.
GlamSuite Excellent customer support, but the setup process is lengthy.
BeautyFlow Fast and reliable, but missing some key integrations.

Universe of convenient solutions

Throughout the course of its eighteen years on the market, the UNIVERSE company has made a name for itself as a dependable provider of business automation tools.

Programs for these are among the offerings from UNIVERSE-SOFT:

  • Fitness clubs;
  • Medical organizations;
  • Dentistries;
  • Beauty salons.

All of the aforementioned products are software, specifically boxed CRM systems, which are installed on an employee’s or employees’ computer.

Even though there are more and more cloud services available, UNIVERSE software in particular has clear benefits:

  • Wide functionality. The software version, due to its specificity, provides more opportunities for expansion, refinement, improvement of functionality and, in general, allows using a larger number of tools;
  • Security. Since all data is stored on its own server, there is no risk of data theft, as well as a sudden "crash" of the server. Of course, other risks arise – a hard drive failure, for example, but in the case of a boxed CRM, it is easily solved by timely backup;
  • Work without the Internet. Since all data is stored on your computer – the program does not need to constantly synchronize with the supplier"s server to request data;
  • Full control. Any cloud CRM is subject only to the developer, which means that all changes in functionality, updates, design changes inevitably have to be accepted. The software system is not subject to such sudden changes.

The biggest benefit, though, is that users only have to pay for UNEVERSE software once—during the license purchase. The tariff won’t be due to you each month or year.

However, the developer can satisfy your needs beyond just software upgrades. UNIVERSE-CRM is a cloud system that offers basic tools and the option to personalize the service for users who find using a cloud service more convenient.

Since UNIVERSE-CRM lacks a focus, the following people can use it:

  • Hairdressing salons, studios and beauty salons;
  • Legal organizations;
  • Companies providing training services;
  • Trading platforms.

Although cloud CRM is slightly less functional than software, it is still ideal for startups, small businesses, and individual professionals who are not yet ready to buy a license.

We looked more closely at the UNIVERSE-Beauty program, which considers the subtleties of the beauty industry, facilitates the administrator’s work, and helps to detect and quickly fix any errors in the work.

System operations:

  • Client database;
  • Online registration;
  • Tracking the work of employees and transactions related to them;
  • Warehouse;
  • Flexible loyalty program;
  • A large number of reports – on clients, finances, employees, products and services.

The UNIVERSE-Beauty salon’s CRM was tested, and the results showed how easy it is to manage clients, make scheduling appointments more efficient, and increase customer satisfaction with the correct software. This CRM could revolutionize daily operations by emphasizing simplicity of use, seamless integration with current tools, and features specifically designed for beauty salons. These features would enable staff to deliver exceptional customer service while also improving the overall experience for clients.

UNIVERSE-Beauty may initially appear difficult and unintelligible to individuals who are unfamiliar with CRM systems of this type, but the developers have made sure that even a novice can easily get around the system and start producing productive work.

The system’s main menu, which has nine functional sections, is situated in the upper horizontal line.

  1. Clients;
  2. Operations;
  3. Employees;
  4. Reference books;
  5. Products-Services;
  6. Cashier-Bank;
  7. Warehouse;
  8. Reports;
  9. Reminders.

In addition, management is provided by service, support, settings, and access control.

Working with clients

A tool for interacting with and accessing a client base is found in the "Clients" section.

Using the client list, you can:

  • Add a client or blacklist them;
  • Track transactions with the client;
  • Make changes to the client card – change the number, add a comment, set up a loyalty program.

We have tested a number of CRMs, and Universe-Krasota has one of the most comprehensive client cards we have ever come across. The card’s "from" and "to" sections help to increase each client’s loyalty because of its personalized approach. For example, congratulating a visitor on their birthday, serving them their favorite coffee with cinnamon, or sending them an email announcement of a new promotion will all be greatly appreciated. All of this information is kept in one location and aids in personalizing the strategy because of the comprehensive client card.

Apart from the fundamental details necessary for making contact, the card includes:

  • The master to whom the client is assigned;
  • The person on whose recommendation he came is a convenient feature for promotions like “Bring a friend”;
  • Car number – useful for salons located in closed areas or for parking;
  • Advertising source – if the client came as part of a promotion.
  • Photos before and after the procedure – optional.

The client list may be manually entered into the system or imported in the *xls and *xlsx formats from Excel.

Registration for the procedure

The "Operations" section, which includes all the details on the services offered in the beauty salon, studio, and office, is where registration for the procedure is made. The registration process is easy: just select the date, master, service, and client in the "Pre-registration" section, and the entry will appear in the journal right away.

You can update the status of an entry in the journal to reflect the client’s arrival or payment for the service. If necessary, the check’s composition is changed before payment is made; this is helpful if the client received additional or different services. If more consumables were used during the procedure than were included in the cost price, the list of consumables is also edited. The items that were sold to the client are also included on the receipt.

By selecting "Arrange a visit" under "Operations," you can schedule a visit with a client who hasn’t made a reservation in advance.

Loyalty program

Maintaining a loyalty program in the beauty salon is made possible by the UNIVERSE-Beauty program. The "Types of cards" section under "References" contains entered and configured information about the discount system.

Here, different card kinds are made for customers with various loyalty programs:

  • Cumulative – the discount amount increases when the client reaches the set threshold;
  • Bonus – bonuses are accrued from each purchase;
  • Personal – special discount conditions for goods and services. Discounts can be set for specific groups of goods or services, for example, which the client visits most often.

You are able to make an infinite quantity of cards and give each client a unique strategy. In beauty salons, this kind of thing is uncommon because the loyalty program is typically one-size-fits-all and entirely pointless. Individualization is necessary for a modern client-focused approach, and UNIVERSE’s flexible loyalty program customization facilitates this.

Promotions

A promotion is a brief, beneficial offer to a customer. Promotions for customers are carefully considered in the CRM UNIVERSE-Beauty. They can be for new clients, for the first visit, for reaching a specific number of visits, and more.

Each promotion has specific settings that allow you to consider nearly everything:

  • Whether it is summed up with the offer on the client card;
  • Age of clients;
  • Expiration date;
  • Specific goods or services.

Tasks

The administrator of the beauty salon can enter tasks that need to be finished soon and record incoming and outgoing calls in the system.

This section’s potentials include:

  • Creating your own types of tasks – call, consultation, email;
  • Unlimited number of tasks for each client;
  • Reminders for tasks that need to be completed in the near future;
  • Creating tasks for yourself or other employees;
  • Adding tasks from different menu sections – client cards, subscriptions, registration forms;
  • Recording potential clients.

It is also possible to include tasks in the program that have nothing to do with clients directly, like placing an order with a supplier, making a call to a VIP client, and so forth. "Operations – Task work – Task list" is a separate section that displays all tasks that have been recorded for execution.

A list is created by employees, either all at once or one by one, and by periods. To do this, date settings are located in the window’s upper section. Every task that is included in the selection process will include details about the performer, client status, date of execution, and outcome.

The tasks have been categorized into four groups for ease of use:

  1. Created – not yet completed, but not overdue;
  2. Completed – the task has a result;
  3. Expired – the deadline has passed, but the result has not been entered;
  4. Closed – the task result was simply closed.

Employees

The entire "Employees" section is devoted to setting up a framework for collaborating with managers, supervisors, and other staff members.

This menu item allows you to:

  • Add or change an employee card;
  • Configure wages;
  • Place a bonus or fine an employee;
  • Set up a staffing schedule;
  • Register an advance and salary;
  • View the work log.

The fact that an employee card functions as a complete "personal file" is intriguing. Naturally, this does not relieve an HR specialist or salon owner of the need to keep track of their employees’ personal cards, but if they manage HR matters in-house, it will be a huge assistance. The employee card contains the following details in addition to the standard full name, phone number, and birthdate:

  • Passport data;
  • TIN;
  • Residential address;
  • SNILS.

Included are the position, structural division, start and end dates of employment, and date of dismissal.

Payroll systems

  • Rate – salary. Set for a day of work or hours worked;
  • Percentage of sales of goods and services, and different percentages can be set for goods and services;
  • Percentage of revenue and sales plan – calculation features can be set independently, under different conditions;
  • Guaranteed paid employee output – that is, payment for a work shift regardless of the results of sales of goods and services;
  • Different percentage rates for the employee’s clients and the salon’s clients. This simplifies the procedure for calculating wages with masters who come with their own base, but periodically work with visitors tied to the salon. You won’t have to rack your brains when calculating wages – it’s enough to specify the percentage agreed upon with the employee in the settings;

You can include more conditions, such as a cost price deduction or a calculation based on the client’s payment amount less the discount, to account for all the subtleties.

Fines and bonuses

Bonuses and fines are deserving of special consideration. The application assists in rewarding or disciplining an employee with a few clicks, accounting for the designated sum when determining wages.

Salary calculation

And a few remarks regarding "Employees" and "Wage payment" in relation to wage computation. You won’t need to compute the salary if all visitation data is input into the program and the terms of payment for the worker’s labor are established. UNIVERSE-Beauty will take care of everything automatically. Entering the amount issued, completing the operation, and printing the payroll are the only things left to do.

A quick report on accruals and deductions is shown for each employee, and a more thorough report is generated by clicking the relevant button.

Goods and services

The "Goods and services" section allows you to set up, examine, and assess the products and services offered in a hair salon, studio, or beauty parlor.

UNIVERSE-Beauty assists in managing the policies for the release of goods, their expiration date, selling prices for clients and staff, and critical balances of goods in addition to the inventory list that is accessible in many CRM systems.

Furthermore, there is an option to upload your own list in *xls or *xlsx format and unload the generated list in Word, Excel, PDF, and other formats. In this instance, the uploaded list needs to follow a specific format to properly "fit" into the system; during program training, your personal manager will advise you on the proper format for the table for import.

Additionally, you can manage resales and print price tags and labels through this section. A special field asks the customer when they will need to buy the product again.

The application will create a code that is then read by the scanner to be added to the check for beauty salons that use barcode scanners. It is possible to group products to make navigating the list easier. The only fields that differ in how service cards are filled out are the specific ones.

Every service has it installed:

  • Duration – to correctly make a preliminary appointment by time;
  • The period after which a return visit is possible or necessary;
  • The cost price of the service;
  • The price for the client and the employee.

The write-off consumables required for its implementation are configured here in the service card. The list of consumables can be copied from the service already entered in the catalog if the beauty salon offers services with comparable consumables, saving time on manual data entry.

With a few clicks in the "General price recalculation" section, prices for whole categories of goods and services can be instantly adjusted in response to price increases.

Additional roles for the section on goods and services:

  • Printing a price list for clients;
  • Calculation of service profitability – forecasting income for each department;
  • Viewing composite services and replacing one product with another with one click in all cards. This tool will come in handy if you switched from one brand to another and need to replace, say, a cream or base in all services;
  • Printing price tags for goods;
  • Cash gift certificates, for which you can set an expiration date.

Cash desk

"Cash desk and bank" is a sizable area that aids in documenting, monitoring, and examining the flow of money inside the beauty salon. It is advised to add income and expense items as soon as work begins for the system to operate correctly. This can be done in the "Reference books," "Cash desk," and "Income and expense items for cash" sections.

  • Income item – a source that ensured the receipt of funds in the beauty salon"s cash desk, for example, financing from an investor, a loan or credit;
  • Expense item – the purpose of spending funds from the cash desk – collection, purchase of consumables, tools, purchase of household goods, office supplies.

To record income and expenses, use the "Cash desk and bank" menu section and the corresponding line labeled "income" or "expense." Here, a report on the flow of funds for one or more items over a given time period is generated under the "Cash Status" section.

Enables CRM to track accountable funds, which are monies given to employees with specific instructions that need to be confirmed later. The program includes a built-in bill counter, a tool for counting banknotes in circulation, for ease of cash counting. To calculate the total amount, simply count the number of bills in each denomination and enter the data in the table; the system will take care of the rest.

Warehouse

One of the most fascinating parts of UNIVERSE-Beauty—as well as CRM systems in general—is Warehouse. The capacity to keep an eye on balances, replenish them on schedule, and prevent force majeure—the situation where "the cream ran out and there is nothing to carry out the service with"—are all ensured by warehouse control.

Working with the warehouse is done in a separate area where you can:

  • Register receipt;
  • Write off goods;
  • Carry out a return to the supplier;
  • Conduct an inventory;
  • Record the issuance of materials for work;
  • Check balances.

Inventory management is a fantastic tool for upholding employee integrity and warehouse order. Enter the actual quantity and print the inventory results to update warehouse data and create a report.

Reports

One of the factors used to choose a CRM system for a beauty salon is the availability of reports. While the automation system’s customer base, warehouse, and other features are also crucial, the reports are what really make it a powerful tool for boosting revenue, enhancing the salon’s profitability, and keeping an eye on the masters’ work.

Reports from UNIVERSE-Beauty assist in analyzing:

  • Number of new, regular and lost customers;
  • Distribution of customers from different advertising campaigns and marketing channels;
  • Profitability of services;
  • Demand for goods and services – how popular are the procedures among customers, and which are not in demand at all;
  • Sales of goods;
  • Revenue dynamics for the selected period, etc.

The developer provides more than 135 reports, each of which can be regularly and expertly analyzed to help you catch errors early on.

  • Refuse unprofitable goods and unclaimed services;
  • Stop non-working advertising campaigns;
  • Regulate the work of masters and improve their skills in time.

It is possible to print any report or store it in another program.

Additional functions

Online services

Online services are a contemporary means of communicating with clients; instead of calling and wasting time on hold with the administrator, people can now more easily schedule an appointment or obtain information online. To enhance customer comfort and ease the workload of beauty salon staff, UNIVERSE-Beauty is enhanced with:

  • Online appointment widget for the site;
  • SMS mailing module;
  • Mobile application in the corporate style of the salon.

Integrations

The process of connecting multiple third-party services to the software is known as integration. Linking up with the software

  • Online cash register;
  • Acquiring;
  • Yandex services – Metrica, Maps;
  • IP telephony;
  • Call tracking services;
  • AMO CRM;
  • Roistat and other analytics services – the program has the technical capability for this.

Additional equipment

Additionally, the UNIVERSE company provides the following tools to help you work comfortably:

  • Barcode scanners;
  • Online cash registers under 54-FZ;
  • Receipt printers;
  • Thermal label printers;
  • Cash drawers;
  • Computers.

Tariffs and conditions

Payment for the license is required before access to the program is granted. There is no trial period, but prior to purchase, a representative of the company will personally walk you through all of the features and capabilities, address any questions you may have, and assist you in selecting the appropriate version.

The list of features distinguishes between the two versions, Lite and Standard. The implementation of a bonus system, gift cards, accountable fund issuance, automatic material write-off, and many other tools are not covered by Light. Additionally, even the Lite version meets the essential requirements of businesses in the beauty industry.

The license’s price is determined by:

  • The selected version;
  • The number of workstations;
  • The number of branches.

The basic workstation license costs 35,000 rubles, while all other licenses cost 12,500 rubles. Nevertheless, the developer occasionally runs sales and discounts, so you can get a CRM for a beauty salon for a really low price.

The license fee consists of:

  • Work with a personal manager;
  • Software installation and training for 6 hours – two days for 3 hours. For residents of Moscow, training is conducted in person, for other regions – remotely;
  • Free updates throughout the year;
  • Annual technical support.

The UNIVERSE-Beauty program is used by over 2,000 salons in Russia and overseas, including Milfey, Persona Lab, BABOR network, and others. The program is appropriate for a dependable company that wants to fully automate every procedure.

Ivan

An excellent program if you require the most feature-rich option available. Of course, the price is high, but without subscriptions, just buy and use. It is over the top for a small hair salon, but everything works fine where I installed it.

Oleg

For over a decade, I have been involved in the development of the Universe program. Everything is fantastic! You can add any promotions to the excellently done module. numerous client reports. Reminders are useful for administrators and are also convenient. Mailings that are sent automatically are effective. The online reservation service has grown in popularity recently.

CRM testing conducted for UNIVERSE-Beauty has demonstrated that a well-selected system can greatly enhance a beauty salon’s day-to-day operations. It facilitates appointment scheduling, effectively maintains client records, and aids in marketing initiatives—all essential for remaining competitive in the beauty sector.

The CRM improves the overall client experience by freeing up staff time to concentrate more on providing exceptional service by automating repetitive tasks. Long-term success depends on fostering loyalty, which is increased customer satisfaction.

Purchasing the appropriate CRM is about maximizing the potential of your salon, not just updating technology. With the correct system in place, you can more easily meet the needs of your clients and expand your salon while managing your business more skillfully.
